Multiple Resources Per Appointment

This article explains how to schedule appointments requiring multiple staff, services, or resources, including setup, workflows, availability logic, and FAQs.

📝 Overview

Multiple Staff Members or Services may be required to support a customer's needs. The scheduling system supports these scenarios through the Multiple Resources per Appointment preference. A resource may be a Staff Member, Service, or Room.

🗂️ Scheduling Multiple Services

Your business may offer services that need to be booked in sequence, or customers may prefer back‑to‑back scheduling. By adding more services to an appointment, the customer can be scheduled with the proper combinations of staff and services.

⚠️ Please note: If you pre‑select a time slot from the grid, it becomes the default time for the staff and Appointment start time fields. Depending on other staff's availability, start times may differ.

  1. Click Add Appointment within an open time slot.

  2. Add Customer or create new customer, then click Next.

  3. Enter in Service #1 details, then click Add New Service.

  4. Enter in Service #2 details, click Add New Service to add another service if needed.

  5. Click Finalize Appointment.

👥 Selecting Multiple Staff Members

Select multiple staff members for a single service to ensure all required participants are scheduled together. Available options and times automatically adjust based on combined staff availability.

  1. Click Add Appointment within an open time slot.

  2. Add Customer or create new customer, then click Next.

  3. Enter in Service details, then select from the Staff Members drop-down.

  4. Select the Staff Members you'd like the appointment to be booked with.

  5. Click Finalize Appointment.

🏢 Selecting Multiple Rooms

Select multiple rooms for a single appointment when space or equipment requirements span more than one area. Room availability is automatically validated to prevent conflicts and ensure all selected rooms are available at the scheduled time.

  1. Click Add Appointment within an open time slot.

  2. Add Customer or create new customer, then click Next.

  3. Select Service(s) and Staff Member(s) for appointment, then select from the Room drop-down.

  4. Click Finalize Appointment.

Am I able to select multiple Services, Staff Members and Rooms for one appointment?

Yes, this feature allows you to utilize all resources for a single appointment if needed.

How will a status change update the appointments?

All service appointments will share the same status. It is recommended to only change statuses when the update applies to all services in the customer’s appointment.

What happens if I remove a service from an appointment?

The appointment calendar updates to remove staff appointments related to the change. Customers receive an email update, and affected staff receive a cancellation notification. The service is not considered canceled if at least one service remains. Removed staff receive cancellation notices; customers receive change notifications based on user selections when saving.

How do I move a service from one staff member to another?

Open the specific staff member’s appointment and choose Edit Appointment. Select the new staff member from the drop‑down. If they are unavailable at the original time, choose a new start time. Save and close. The new staff member receives a confirmation; the removed staff member receives a cancellation; the customer receives an updated change notification.

What if staff members have customized service durations?

If staff have different duration settings for the same service, the system applies the default service duration. Users may adjust the duration manually.

Can I schedule services in different locations or on different dates?

No. An appointment may only occur in a single location on one date. To schedule across locations or dates, create separate appointments.

Can multiple staff members be assigned to an Event?

No. Events can only be assigned to a single staff member.
