Managing Schedule Exceptions

Learn how to create and manage Schedule Exceptions to modify staff availability, override schedules, and customize appointment times for specific dates.

📝 Overview

The scheduling system can be configured to allow availability exceptions within your staff schedule. When added to a Staff Member’s Profile, a Schedule Exception overrides any existing schedule or schedule template.


🛠️ How to Create Schedule Exceptions

Single Appointment per Time Slot (SAPTS) and Multiple Appointments per Time Slot (MAPTS) have slightly different creation configuration. Below are step-by-step instructions to add Schedule Exceptions to a Staff Member’s schedule for each type.

⚠️ Please note: You cannot create exceptions on days when the Location is Closed. Open Hours or Closed Days within your Settings tab may need to be edited to accommodate changes made to the schedule.

  1. Click Staff Members tab.

  2. Select a Staff Member profile from the list.

  3. Click Schedule Exceptions tab on the left.

  4. Click Create.

  5. Select the Date, Start Time, and End Time.

  6. Click Create Exception.

  1. Click Staff Members tab.

  2. Select a Staff Member profile from the list.

  3. Click on Schedule Exceptions on the left.

  4. Click Create Slots.

  5. You can create via Quick Creator (for multiple days in a row) - Select Date, Start/End Time, Appointment/Slot Duration, Appointments per Slot.

  6. Or create via Manual Entry (for single day or multiple random days) - Select Date, Start/End Time, Appointments per Slot.

  7. Click Create Slots.

🧠 When to Use Schedule Exceptions

Below, we will review how Schedule Exceptions help manage Staff Member schedules by replacing existing availability rather than adding to it.

  • Partial-day availability:
    You have a particular day when you only need the morning or evening available. Instead of adding several reserves, creating an exception can be easier and more effective.

  • Adding availability on a day off:
    You can allow limited availability for staff who are marked as “off” on their schedule.

  • Extending your normal day:
    For example, you normally work 8AM – 12PM but need to extend to 8AM – 5PM on a specific day. Schedule Exceptions make this possible once you've adjusted your Open Hours within the Settings tab.

  • Adjusting appointment capacity:
    If your Multiple Appointments per Time Slot schedule allows 2 appointments per slot, but you hire temporary staff and need 4 appointment slots, Schedule Exceptions let you modify availability for those dates.

  • Business open only on specific dates:
    Configure your staff schedules and exceptions to only allow scheduling on those specific open dates.
