Service Times & Exceptions Overview

Need a way to restrict the available times of Services and Add-on Services? With Service Times and Exceptions, you can create custom schedules for all Staff Members, or individual Staff Members to control the time of day services are offered.

What option is best for me?

There are two different features that will restrict service availability. However, only one feature can be used at a time.

  1. Service Times by Service - Create service schedules that apply to all Staff Members. This option also includes Service Exceptions to override service schedules for specific days.

  2. Service Times by Staff Member - Create separate service schedules for each Staff Member.

Settings to Enable Service Times

When you decide which option is right for your business, you'll need to modify the Settings in your account.

If you choose to modify Service schedules:

  1. Click Settings

  2. Click Services

  3. Locate and set #6 Allow Services and Add-on Services to be limited to certain times of the day to Yes.

  4. Click Update

If you choose to modify Staff Member schedules:

  1. Click Settings

  2. Click Services

  3. Locate and set #7 Allow Services and Add-on Services to be limited to certain times of the day by Staff Member to Yes

  4. Click Update

Note: These two settings should not both be enabled at the same time. You'll need to select only one of them, so read further if you need help in figuring out which setting should be applied to your account.

Service Times by Service

The Service Times option gives you the ability to create a weekly recurring schedule for each Service and Add-on Service. Users will only be able to add appointments during the times each service is available. The schedules apply to all Staff Members, making this a great option when all your Staff Members offer Services at the same time of day.

To edit each Service that will be offered for a specific and limited schedule:

  1. Click on the Services tab

  2. Select an existing Service or Add-in Service

  3. Scroll down to the Service Schedule section

  4. Select the Start and End Times. These times will need to be within the Location's Open Hours.

  5. When changes are complete, click Update.

If more than one Service needs to be set up with a limited schedule, repeat steps 1-5 to customize other existing Services.

Service Exceptions

You can also create Service Exceptions to restrict service availability for specific days. Service Exceptions override Service Times, making it possible to change the available times your Services are offered on a daily basis. Service Exceptions are not available if you have selected to manage Service Times by Staff Member.

Creating New Exceptions

  1. Click Services

  2. Select one of your existing Services or Add-on Services

  3. Click Service Exceptions

  4. Select Location (Check multiple Locations if applicable)

  5. Select a Date

  6. Select Start Time and End Time

  7. Click Add

Note: Service Exceptions must have a duration equal to or greater than the duration of the service they are created for.

Creating More than One Exception per Day

When using the Multiple Appointments Per Time Slot version, multiple exceptions can be added for the same day. This means there can be more than one block of time a Service is offered within a single day. Service Times by Staff Member

This feature gives you the ability to set up a weekly recurring schedule for Services or Add-on Services offered by each Staff Member. Users will only be able to add Appointments during the times each Service is available.

Creating Service Times

  1. Click Staff Members

  2. Select an existing Staff Member profile

  3. Click Service Times

  4. Select the Start and End Times for each Service (a separate set of days/times for each Service assigned to the Staff Member is displayed on this page)

  5. Click Update


โ€‹Note: Service Times will not automatically be created for newly added Services or Add-on Services. You will need to update the Service Times section for each newly created and assigned offering, otherwise, the new Service or Add-on Service will be available anytime the Staff Member is available.
