Recurring Reserve Times Overview

Recurring Reserves are used to block out times when you will not be available for Appointments and can be created when scheduling Appointments via Site Administration. The Recurring Reserves feature is enabled by default for all accounts, however, if you have disabled the ability to create Reserves, you will need to make a quick preference change to your DaySmart Appointments account.

NOTE: Due to the high level of customization available when creating time slots, the Recurring Reserves feature is NOT available when using the Multiple Appointment Per Time Slot (MAPTS) version of the DaySmart Appointments scheduling system.

How to Enable Reserves

Select the Settings tab in the top right corner of your screen.




Select the Appointments link within the preferences list to the left.

Select No for Preference #27, then select the Update button.

TIP: Change the Appointments preference #21 to disable Reserves when using the Multiple Appointments Per Time Slot (MAPTS) version.

How to Create Recurring Reserves

From the Appointment Grid in Site Administration, select an open time slot as if you were going to create an Appointment. Then select the Reserve Time tab at the top left corner of the Appointment Detail pop-up window.

Complete the form by selecting the time “From” and “To” drop-down lists, and the applicable Staff Members. To apply Single or Recurring Reserves to Multiple Staff Members at once, use the multi-select dropdown field. This list will only display Active Staff Members in the active Location. You may select any combination of Staff Members, including an All option.

Select the way the Reserve will recur and set the end date. Then select the “Add Recurring Reserved Time” button.

Existing Recurring Reserves can be identified by the blue icon when viewing the Appointments. Clicking on the icon will take you to the Recurring Reserves Maintenance section.

How to Edit Recurring Reserves

Select the Appointments tab.



Select the Recurring Reserve Maint link from the menu to the left side of the Appointment Grid.

Select the Reserve Time you wish to edit, then click the Edit.
Make your changes, then click Update.

NOTE: When updating a recurring reserve record, it recreates the entire string of reserve times and will change the name of the reserve such as "lunch" to "reserved time" that you had previously entered.

How to Cancel (Delete) Recurring Reserve Times

To remove a series of Recurring Reserves:

GO TO: Recurring Reserve Maint (link below the Appointment grid calendars) > Locate the recurring Reserve record and click Delete.
