This is article is currently for our Beta Test Group at DaySmart Appointments.

We are currently updating our User Interface which is projected to be completed over the next several months.

This article, just like the user experience, is continually being updated. Thank you for being one of our Beta Testers and being on this exciting journey with us. As always your feedback is welcomed. We wouldn't be able to release these enhancements without your input.

What’s happening?

This beta program will be rolled out in phases over the next several months. During this transition, you may notice that some parts of the platform still reflect the current design, while others will showcase our exciting new updates. Rest assured, this phased approach ensures a smooth rollout without disrupting your workflow.

Dashboard after Logging In

  • The menu options at the top have been moved to a "More" section

  • Calendar navigation has been updated for easier use.

Customers

The Customer page has been completely refreshed with a new visual design.

Here are a few notable updates about the Customer page:

  • The menu option for Customers is still located in the top menu bar, but it has been slightly shifted to the right of the DaySmart Appointments logo.

  • The alphabetical search option at the top has been removed.

  • The search navigation has been shifted from vertical to horizontal.

  • After searching, you can now see the date the customer's account was created and their account status.

  • You now have the option to export their contact information directly to Microsoft Outlook from the search screen.

Reports

The Reports page has been visually refreshed.

Here are a few notable items about Reports:

  • The menu option for Reports is still located in the top menu bar, but it has been slightly shifted to the right of the DaySmart Appointments logo.

  • We’ve added a new report option in the left navigation panel titled "Reservation Audit Trail Report."

Settings

The Settings page has been visually refreshed.

Here are a few notable updates about the Settings section:

  • The menu option for Settings is now located in the top menu bar. Previously, it was positioned at the top right of the screen but has since been moved to align with our other menu options.

Dashboard After Logging In

We’ve made several visual changes to improve readability and navigation. Here are a few notable updates:

  • The menu options at the top have been shifted and adjusted and has a new "More" section

  • Calendar navigation has been updated for easier use.

  • Staff/Room Filters, Calendar, and Appointment Status Legend have been relocated for improved accessibility.

  • Relocated Filters for Better Accessibility

    • Filters Above the Grid: Staff/room filters have been moved from the left navigation to directly above the appointment grid.

    • Always Visible: Filters remain accessible at the top of the grid, allowing users to adjust resource selections without losing context.

    • Benefit: Saves time and ensures a streamlined workflow by keeping critical controls easily reachable.

Appointment Grid and Calendar

Full Page for the Appointment Grid

  • Dedicated View: A new full-page appointment grid view is introduced for a focused and larger display.

  • Toggle Between Views: Users can expand the appointment grid by clicking the expand icon, providing a distraction-free experience with minimal scrolling and more visible appointment details.

  • Seamless Transition: To return to the standard homepage view, users can click the collapse icon.

Expanded Full Page View

  • No More Pagination: Pagination controls for staff/room calendars have been removed.

  • Scrollable Grid: Users can scroll horizontally to view all selected resources beyond the default five calendars displayed.

  • Containerized Grid: Ensures filters, resource names, and time slot labels remain visible while scrolling.

  • Benefit: Reduces complexity, improves accessibility, and allows users to maintain context while viewing additional resources..

New Calendar

  • Top-Middle Placement: The date picker has been relocated to the top-middle section of the page.

  • Improved Clarity: Users can easily identify and adjust the calendar date they are working with.

  • Benefit: Provides clear visibility and quick access to date controls, enhancing navigation and reducing confusion.

Phase 3: Changes to notes & reminders including a slide-out panel. Count display, built in options for notes, calendar zoom modes added.

Notes, Reminders, Slide-Out Panel, & Notes

  • Notes & Reminders now accessible via a top-menu icon on the homepage.

  • Count Display: The icon shows the count of notes/reminders for the current day.

  • Slide-Out Panel for Notes

    • Quick Access: Icon to open a slide-out panel.

    • Default View: Displays notes for the current day by default.

    • Filter Options available (example: by date range)

    • Add Notes button located at the bottom of the panel. Use the following built out options: From, To, Note, Created By, and Date.

Calendar Zoom Modes Overview

This will give you the ability to not only change the size of the calendar but it will adjust the number of resources you see.

Calendar View Modes:

  • Small

    • View nine resources

    • Appointment cards show the Status Bar and Customer Name

  • Medium

    • View seven resources

    • Appointment cards show the Status Bar, Customer Name, Icons, and Additional Fields (Service Name & PO Number)

  • Large

    • View five resources

    • Appointment cards show the Status Bar, Customer Name, Icons, and Additional Fields (up to three lines of information)

Accessing Calendar Zoom

  1. Navigate to the Appointments Homepage.

  2. Locate the Zoom icon at the top of the calendar grid.

  3. Hover over the icon to see the tooltip: "Adjust Calendar Zoom."

  4. Click the icon to open the Zoom Option.

Adjusting Zoom Levels

Use the slider in the modal to select one of the three zoom modes:

  • Small

  • Medium

  • Large

Overlapping Appointments Support

  • Customers with overlapping appointments preference enabled will see space to the right of the appointment card (instead of a '+' sign). Clicking this space opens the Make an Appointment Window.

  • If multiple appointments are scheduled in the same time slot:

    • Appointment cards are displayed based on the selected zoom level and staff selection.

    • A "X" indicator (total number of appointments scheduled in that slot) appears before the appointment cards if not all are visible due to space. Clicking the indicator opens a slide-out displaying all appointments in that time slot.

    • Clicking any appointment in the slide-out opens the Make an Appointment details page.

Phase 4: Make an Appointment Window Updates including a new Slide Out Panel and improvements to Multiple Appointments Per Timeslot.

  • Our February release focuses on our Multiple Appointments Per Time Slot (MAPTS) Feature.

  • This feature update enables businesses to schedule and manage multiple appointments within the same time slot. This will allow better utilization of resources and scheduling flexibility.

  • Grid with Small Zoom Mode

  • Clicking into an appointment opens a slide out panel for the Make an Appointment Window. See the video below for a quick demonstration.

  • Customers with overlapping appointments preference enabled will see space to the right of the appointment card (instead of a '+' sign). Clicking this space opens the Make an Appointment Window. See the video below for a quick demonstration.

  • For group appointments we are adding an icon to call attention to them better in a calendar. The icon will display the number of participants/spots in the appointment.

Easier Appointment Booking

  • The Make an Appointment Window (MAW) now slides out instead of popping up, making scheduling smoother.

  • You can minimize MAW and keep working without losing progress.

  • Click a time slot, select "Reserve," and set details instantly.

  • A simple “Create Reserve Time” button with a recurrence option makes repeating appointments easier.

Faster & More Intuitive Experience

  • One-click booking: Pick a time and start scheduling immediately.

  • A cleaner, more modern design improves readability and usability.

  • Works seamlessly across desktop, tablet, and mobile devices.

Better Customer & Appointment Management

  • Adding customers is now quicker with a streamlined process.

  • Notes are grouped together for clarity, with a visual count to track important details.

Smarter Error Handling

  • Real-time validation highlights missing or incorrect fields instantly.

  • Prevents scheduling conflicts before finalizing an appointment.

Simplified Payment Process

  • Clearer payment status (Paid/Unpaid) and a quick "Pay Now" button for easy checkout.

  • Enhanced color contrast and font sizes for better readability.
